A customer may pay through a hosted page or field workflow while the processor records authorization, settlement, fee, refund, or dispute and accounting receives another representation. The job, invoice, payment, and bank deposit need stable identifiers and a named reconciliation owner.
Map who creates the payment request, which provider collects data, where credentials or tokens reside, who can issue refunds, which status returns to the field record, and what posts downstream. Use PCI Security Standards Council material and qualified guidance to determine actual validation responsibilities. FTC guidance can inform access and provider-oversight questions.
Reproducible mini-check
In approved test mode with synthetic credentials, initiate a payment, produce a decline, complete a successful payment, issue a partial refund, attempt a duplicate action, revoke a user's access, and interrupt the connection before status returns. Trace identifiers across the job, processor, and accounting output.
Reconcile gross amount, refund, net settlement representation, and status without exposing cardholder data. Repeat against the documented current integration for ServiceM8, FieldPulse, and Kickserv. This plan is not a claim that the test was executed.
Exception: payment succeeds but the job stays unpaid
Suppose the processor completes payment while the field system never receives confirmation. Ask how staff find the event, avoid charging again, repair status, preserve history, and reconcile downstream. Then reverse the situation with a visible payment that does not settle as expected.
The recovery path should identify an accountable system and person. Staff should never resolve uncertainty by placing card details in notes or messages.
Conclusion: validate the full money path
Choose a shortlist candidate only when the current Stripe connection matches the documented flow and failures are visible. Integration existence is merely the first gate. Acceptance requires controlled access, traceable identifiers, tested refund authority, reconciliation, incident handling, and a PCI DSS responsibility determination for the buyer's actual environment.
